    MAJOR RESPONSIBILITIES

  • Client/Stakeholder Management Provide superior customer service to meet on-site client's expectations.
  • Vendor Management Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors' works).Assist in the procurement of new vendors and services as required.Vendor registration & onboarding, registering vendors for site access.Ensure vendors comply with health & safety guidelines & rules.Escorting of vendors when on site.Coordinate maintenance activities including but not limited to scheduling vendors for PPM and reactive maintenance and communicate to JLL team & client, residents & post.
  • Finance Management Assist the FM team in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.
  • Health & Safety Management This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers, contractors and visitors ensuring they comply with the requirements of the health and safety guidelines, policies, and rules.Review contractor Safe Work Method Statements (SWMS) prior to works being undertaken on site.
  • Site Operations Management Update & Manage WO requests from client & residents on Corrigo WO system from NEW status through to completion.Conduct daily morning briefings with FM team and update on operations, planned & scheduled reactive & PPM works.Coordinate vendor attendance to carry out PPM maintenance and repairs in a timely manner. Uploading and manage reports to JLL-Tokyo SharePoint & Corrigo WO system.Communicate & Coordinate in a timely manner access requests to embassy secure areas, private residential areas for maintenance needs.Manage & Communicate maintenance schedule to JLL FM team and to client for awareness.Support requests from JLL HQ Canberra teamsFollow up with vendors for reports and recommended remedial actions.Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained.Manage Safe Work permits for High-Risk Works, Risk AssessmentSeek ways to constantly reduce costs and improve operational standards.Maintain premises in neat and good working condition at all times;Carry out various reactive maintenance, handyman and technical requests as requested where possible.Provide advice and guidance to JLL & DFAT Client in area of qualified expertise.Assist with equipment inventories & asset management.Be available for emergency call out assistance or consultation if required.Create and manage reports on utilities usage and tracking.BMS monitoring and operation. Scheduling BMS functions as requested.Other tasks as requested.
  • Risk Management Assist in the implementation and management of property risk management program.Support the implementation and monitoring of disaster recovering and business continuity plans;Follow established escalation procedures and incident reporting procedures;Adhere to Jones Lang LaSalle's business conduct by ensuring compliance with the firm's guidelines, procedures and strategies.
  • Achieve Key Performance Indicators and Service Level Agreement targets.
  • CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA

    Ideal Experience

  • Prior experience in high profile complex facilities, property management, hospitality or related fields;
  • Knowledge of local occupational health and safety requirements, critical facilities and vendor management for specialised services;
  • Understanding of fundamental technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system);
  • Proven experience working with limited supervision.
  • A technical skill, electrical, mechanical HVAC or other would be an advantage.
  • Ability to communicate in English especially by email. Speaking ability would be advantageous.
  • Excel, Word PowerPoint ability

  • Security Clearance

  • Must be able to obtain and maintain the security clearance level DFAT nominates for this position (at a minimum will be clear JLL and police checks).
