    Facility Management


    • Proactive communicator with JLL and Client.


    • Manage delivery of all services to ensure a faultless environment for our Client


    • Ensuring a fantastic customer experience is delivered all the time.


    • Support the strategic JLL contract journey, liaising with the team and other key stakeholders.


    • Total responsibility for the service delivery and the customer experience


    • Ensure your team is fully informed about operational updates, processes and account objectives


    • Seek opportunities to improve Service desk and Reception service quality.


    • Manage, monitor and report on the operations of the contract


    • Seek opportunities for additional scope to enhance our services and provide further value.


    • Managing team absences to ensure consistent high standard of delivery

    Procurement and Vendor Management


    • Work with appointed vendors to deliver services to the client, meeting expectations and carried out on schedule


    • Monitor and coordinate with vendors to ensure work is carried out in a compliant and safe manner.


    • Ensure payments are done on time, also manage vendors so that they invoice on time


    • Carry out a regular review of routine vendors to enable a better understanding of their overall performance and potential improvement opportunities


    • Obtain quotations for any potential adhoc work in accordance to JLL procurement guidelines

    Financial Management


    • Ensure no outstanding amount or any payment issue. Prepare purchase requisitions for client approval, track savings and variance in all monthly finance reporting.


    • Ensuring full statutory and operational compliance is achieved in line with contract KPI's.

    Risk Management


    • Ensure escalation procedures and incident reporting procedures are implemented and maintained.


    • Adhere to JLL's and Client's code of conduct; ensuring compliance with the firms' guidelines, procedures and strategies

    Front of House


    • Promote and support a first class and professional reception and meeting room service


    • Ensure the team adhere to all the procedures as described in the procedural standards manual


    • Ensure the reception area and meeting rooms are tidy and ready for any scheduled activity


    • Provide a prompt and efficient service to the Client and expectations to be consistently exceeded


    • Regularly monitor customer feedback and produce an appropriate action plan based on the results


    • Ensure that all agreed service objectives to be met in line with client expectations

    Health and Safety Management


    • To ensure that all employees are aware of Hygiene, Health and Safety policies and procedures and Fire Regulations


    • To record and report all accidents within the location adhering to location and company procedures.

    Additional Responsibilities


    • Attend all local management meetings and any company meetings as required


    • Take responsibility for contributing towards your own development with the guidance of the line manager and attending training courses as identified


    • Show commitment to company values in all aspects of your role


    • Act as a positive ambassador for the business


    • Attend to any reasonable requests made by the Client, JLL or Client Management


    • Create and maintain operation service manuals

    About You:


    • 3-5 years' experience within a facilities management/project/contract team including staff, operations and financial management.


    • Passionate about customer experience and have experiences in helpdesk, vendor management and administration tasks


    • Good level written and oral communications skills in English and Japanese. An influential communicator, with the ability to deliver clear and concise messages and identify mutually agreeable solutions; interpersonal skill to build good relationship with clients and related parties


    • Demonstrate integrity for work and colleagues


    • Flexible and proactive and quickly having priorities


    • High attention to detail, and an ability to analyse problems and provide alternative solutions


    • A self-starter and a strong team player with a commitment to support the colleagues


    • Ability to work in a fast-paced environment


    • Computer Literate – good understanding and working knowledge of office software.


    • Proven track record of achievement
