    Major Responsibility

  • Supervise cleaning vendor, including inspections and quality management of service delivery.
  • Conduct regular meeting with cleaning vendor to discuss tasks status update, workload, and resources, identify and implement more efficient and/or cost-effective processes.
  • Assist facility manager to verify with Finance on all expenditure for facilities management, including invoice reconciliations, and contribute to cost saving initiatives.
  • A dministration

  • Organize all paper and electronic documents in line with Client filing structure guideline and conduct random quality checks.
  • Update master register of all contact lists including emergency contact lists, master vendors contact lists and critical vendors contact list and conduct random checks.
  • Organize a register of all Client standards documentation.
  • Support financial process all service vendor and contractor invoices and payment.
  • Maintenance Contract

  • Support Facility Manager to file an updated register of all maintenance contracts.
  • Support Facility Manager to perform maintenance contractors / vendors review and selection for new contracts and contracts renewal.
  • Routine Maintenance

  • Cleaning inspection such as quality of office cleaning, disinfection, and global initiative of clean desk guideline, and periodically visual check.
  • Supervise all changes to the as-built drawings and documentation of Clean Desk Guideline and others.
  • Support Facility Manager to conduct General Site Check quarterly to find the place need to repair.
  • Preventive and Ad-hoc Maintenance Support

  • Manage all administration of all cleaning work records.
  • Manage site access to Client site in accordance with Client regulations.
  • Maintain and update all Operation & Manual and as-fitted drawing.
  • Update List of Breach Register to understand upcoming Building Maintenance.
  • Coordinate with facility vendor to carry out the preventive maintenance works.
  • Health and Safety

  • Support compliance with statutory regulations on health and safety regulations.
  • Support all safety procedures including Emergency Operation Procedures.
  • Support a register of all emergency call out incidents.
  • JLL Management

  • Communicate with regional team to standardize JLL operation, meet Client requirements and solve issues.
  • Manage issues raised during Ops AIDE audits conducted by JLL EOS, if any.
